The Website, Services, and your use of the Website and Services are collectively known as the Offerings, as defined below.

Scope of This Privacy Policy
This Privacy Policy covers the Personal Data Hapvider collects from Users when you access our website at www.hapvider.com, our private portal at portal.hapvider.com, use our applications, enjoy our Services, engage in marketing activities, and communicate with us (together or individually, the “Offerings“).
Each person that accesses or uses the platform is a “User” and may be required to have an account with us. A User must (i) if you are an Entity, be a valid U.S. formed entity whose owners are at least 18 years of age and residents of the United States and its territories or possessions, and (ii) if you are an individual: (a) be at least eighteen (18) years old; (b) be a resident of the United States and its territories and possessions; and (c) possess the legal authority to enter into binding legal obligations; and for both entities and individuals, agree to this Privacy Policy and Hapvider’s Terms of Service. No User shall use the Offerings on behalf of a third-party.
We may collect, store and process Personal Data about Users to facilitate the provision of our Offerings. You should read this Privacy Policy carefully. By using the Offerings or submitting your Personal Data, you agree to these terms and you consent to the processing of your Personal Data in accordance with this Privacy Policy.
We collect and temporarily store certain information about your visit for use in site management and security purposes only. We collect and analyze this information because it helps us better design our website to suit your needs.

Information You Provide: We may collect Personal Data that you provide when you register for and use our Offerings, including your name, email, job titles, usernames, passwords, contact preferences, payment information, call recordings, employee profiles created by Users within the portal, responses to assigned tasks, feedback on Services, live voice interactions via Voice AI (e.g., inbound inquiries, outbound follow-ups), and chat transcripts via Chat AI (e.g., support conversations). We also may collect any correspondence we have if you contact us. We use this Personal Data to authenticate your access to the Offerings, to deliver, improve or personalize the Offerings, and for our internal operations, such as processing, maintaining your account, communicating with you, and for legal or regulatory purposes:
- Email Addresses: We may use your email address to send you Offerings-related emails, like confirmations or customer service notices. You cannot opt out of these emails. We may also send you newsletters and information about our services or those of our partners. You can opt out of these promotional emails at any time by clicking on the unsubscribe link in the email.
- Content: We may collect content you share or create while using the Offerings as well as any feedback you may have about the Offerings. We will maintain, use, and process the information to improve our Offerings.
- Call Recordings: We record all lead phone calls, stored indefinitely by a third-party provider under a white-label arrangement, to assess quality and generate AI-driven performance reports. Users must ensure compliance with applicable call recording laws (e.g., Telephone Consumer Protection Act, state two-party consent laws) by obtaining prior consent from all parties where required; the Company is not liable for legal violations stemming from such recordings.
- Employee Profiles: Users may create employee profiles within the portal, providing data such as names, emails, and login credentials. Users are responsible for obtaining employee consent and ensuring compliance with applicable privacy laws regarding this data. Employee profile data remains the User’s property and responsibility, and Users indemnify Hapvider against employee privacy claims.
- Voice AI and Chat AI Interactions: We collect live voice data from Voice AI interactions (e.g., inbound customer inquiries, outbound lead follow-ups) and chat transcripts from Chat AI interactions (e.g., support conversations, lead generation) to provide automated responses, improve AI performance, and generate analytics. These interactions may be stored and analyzed to enhance our Offerings, with opt-out mechanisms provided where required by law (e.g., TCPA for outbound calls, state bot disclosure laws for Chat AI).
Automatic Information Collection: When you access or use our Offerings, we may automatically collect usage information using cookies and other tracking technologies. This includes technical information such as URL, cookie data, IP address, device type, unique device IDs, device attributes, network connection type (e.g., WiFi, 3G, LTE, Bluetooth) and provider, network and device performance, browser type, language, operating system, and lead interaction data (e.g., phone calls, website forms, chats, texts, transactions) via a third-party tracking provider. We assign tracking numbers across Users’ Google Business Profiles (GBP), websites, and off-page SEO profiles to ensure accurate attribution and recording, which may conflict with Google’s Name, Address, Phone Number (NAP) consistency guideline preferring a single local number; Users are responsible for any resulting SEO impacts. We use this information to monitor usage, optimize campaigns, enhance Offerings functionality, and improve User experience.
Analytics: We may use analytics tools (e.g., Google Analytics) to better understand how the Offerings are used and how we may improve or enhance them. We may also gather non-personally identifiable data about usage patterns, including general geographic areas of Users (not linked to individuals), to maintain and improve the User experience. These tools may collect information about the type of computer or browser you use, other websites you visited, how you used our Offerings, and the length of time you use our Offerings.
Third-Party API Data: Depending on your use of the Offerings, your Personal Data may include access to your online data through tools such as Housecall Pro, QuickBooks, Google Analytics, and other APIs, collected only with your prior written consent and at your direction. The Company is authorized to aggregate your Personal Data from all system records available to us, including these tools and publicly available information, for analytics and Service enhancement.

How You Can Access, Change, or Delete Personal Data
Users can review and edit certain account information via the Account Settings page in the Offerings. If you would like to change any other account information, or would like to delete your account, please contact us at [email protected]. Please remember that if we delete your account, you will lose access to all content associated with your account. We may still store User Personal Data in our records as required under our information retention policies or for internal business, legal or regulatory purposes.

Hapvider uses social media and other kinds of third-party websites. Hapvider uses third party websites to engage in marketing, advertising and communicating with vendors and potential users. Third party websites may be used to advertise new Hapvider content, publicize certain events and engage with vendors for proposed services.

Managing Your Data and Privacy
You may review and change your information, deactivate your account with us, manage the use of information that identifies you, decide what marketing communications you receive, and understand our use of cookies. We may retain certain information, including Personal Data, and you may still receive other non-promotional messages from us.

Managing Marketing Communications From Us
Hapvider will honor your choices when it comes to receiving marketing communications from us. If you have received marketing communications from us that you no longer wish to receive, you may:

Like most other companies, Hapvider is not currently configured to respond to browser “Do Not Track” signals because, at this time, no formal “Do Not Track” standard has been adopted.

Data Retention

- Call recordings, Voice AI interactions, and Chat AI transcripts are retained indefinitely by our third-party tracking provider or the Company for historical analytics and dispute resolution, unless terminated.
- Other data (e.g., account info, analytics) is kept as needed for active accounts, legal obligations (e.g., litigation holds), or business purposes, such as campaign optimization, even after deletion requests.
- If you decide not to receive promotional communications from Hapvider, your opt out will not apply to information provided by us as a result of a purchase or use of our Offerings, Offerings experience or other transactions.
- We may also continue to use some of your information for our legitimate business purposes and to improve our Offerings or to develop new ones.
- We will retain and use your information as required by applicable regulations and our records and information management practices, comply with our legal and reporting obligations, resolve disputes, enforce our agreements, complete any outstanding transactions, and for the detection and prevention of fraud.

The Company is authorized to aggregate your Personal Data from all system records available to us including but not limited through tools such as Housecall Pro, QuickBooks, and other APIs, and publicly available information. The Company will only access said tools with your prior written consent and at your direction.

We transmit data using a secure socket layer (SSL) and encrypt all information that is stored in cookies. We use reasonable security measures and features in an effort to prevent unauthorized access to your information, including Personal Data, and seek out vendors who do the same. The safety and security of your Personal Data also depends on you. Where we have given you (or where you have chosen) a password for access to our Offerings, you are responsible for keeping this password confidential. You should not share your password with anyone.
